Your contract is signed and we are so glad to have you. This is your guided path through onboarding, so your aligned Virtual Executive Assistant (VEA) can get to work and you can get back your high-value time with ease and grace.

Next steps
1 Preparations before onboarding
- Complete the Client Onboarding Form.
- Prepare the log-in details for your social platforms as agreed on the Connection Call. If you use a password manager such as LastPass, please have it handy for your onboarding call.
- Accept the SuiteDash client invitation, so you can see task activity and updates on your project. This is sent to your email. You sign in once and visit as you see fit. It is for task coordination and quality assurance, so you do not need to be in this space daily.
2 Onboarding call
Great. You are almost there.
- Meet your VEA. An admin will facilitate this call.
- Give access to social platforms and tools to kickstart the task.
- Refer to the recent Connection Call you had with Ruvy for the task details. This was sent to you after your call.
3 Set-up week
What your VEA will complete during the set-up week:
- Connect with you through the team communication platform (WhatsApp).
- Review your onboarding document, business profile and materials given for the task.
- Set up your project management workspace.
4 Set-up week: assets checking and check-in
- Review and approve all assets submitted by your VEA at the end of the set-up week.
- Communicate any clarifications with your VEA. They check in with you daily as they begin their tasks.
- Set a weekly time to meet your VEA and receive your report. VEAs keep weekly Key Performance Indicator trackers to give you an overview of your business growth and visibility.

These are led by an OBM (Ruvy), who determines all project needs and deliverables.
Your VEA's first tasks
Click your service below to see exactly what your VEA does first. Then download, print, or email yourself the full checklist to keep as a reference.
- Conduct a lead generation and social media audit, then optimise your Facebook profile (profile banner) and community (group banner, membership questions, rules, description, and daily themed prompts).
- Set up your trackers.
- Set up your Pre and Post-Launch Facebook Audience Growth and Client Flow Strategy.
- Conduct initial group research across at least 25 groups.
- Repurpose the first batch of content to be posted after the set-up week, using the team's content plan template.
- Create draft message templates from the team script for your review.
- Submit the task folder holding the Lead Generation Planner and Tracker, the Audience Growth and Client Flow Strategy, and the Content Plan, for you to review and approve.
Depending on your VEA's task allocation, these tasks may take one to two weeks.
- Meet with you for content strategy (theme and scheduling).
- If you have a content management tool, walk your VEA through how you want it set up. If not, your VEA will set up a Content Map Sheet, Content Plan and Buffer for you.
- Repurpose the initial content across one week.
- Meet with you for email content strategy (focus for the month and scheduling).
- Set up your Email Content Map.
- If you have an email management tool, walk your VEA through how you want it set up. If not, your VEA will build it out using a platform such as Kartra, HubSpot or MailerLite.
- Give access to your task folder, then allow at least one week for progress.
- Give access to your task folder.
- If you do not have optimised videos, photos or graphics yet, your VEA will help you with these.
Standard landing page outline
- Header and hero. Logo and branding, minimal navigation, a clear benefit-driven headline, a short supporting subheadline, a call-to-action button, and a hero image or video.
- Problem and solution. Identify the problem your audience faces, describe how your service solves it, and support it with icons or images.
- Features and benefits. Highlight three to five key features, translate them into benefits, and present them with icons, checklists or short blurbs.
- Social proof. Testimonials, client or partner logos or before and after examples, and numbers or results.
- Offer and package details. What is included, pricing or a booking prompt, and a small supporting call-to-action button.
- Final call to action. Repeat the primary call-to-action button and keep the message simple and persuasive.
- Footer. Contact information, social media links, and privacy policy or terms if needed.
Your VEA will arrange a daily working time for your task, so you are aligned on working hours.

- Review all access given.
- Review your workflow or project management tool. If you do not have one, your VEA will set one up using a platform such as Asana, Monday or Trello.

- Your lead magnet, if this applies. If you do not have one, we will recommend building one.
For your pathway
- Email Marketing. Your decision on content focus and pillars, plus materials to repurpose into emails.
- Web Design. All photos and videos for design, and copy for your deliverables in a Google document, especially for your landing page build.
- Administrative Support. Reference files or SOPs if present, and a one to two week business orientation facilitated by the CPRIVAS admin.
No extra items beyond the above for this pathway. Your VEA will confirm anything specific during onboarding.
